Data Collection

We collect information required for HR, attendance, payroll, and employment-related operations. This includes your name, email, address, contact details, employee information, work details, device data, usage data, and Location.

If required by your organization, we may collect statutory identifiers such as PAN, Aadhaar, UAN, PF, or ESI for HR and compliance purposes.

For paid subscription features (web platform), billing information may be collected as applicable.

Location Data

We request and collect location data only with your acknowledgment and consent. Location permissions we may request include approximate location (coarse) and precise location (fine/GPS). We use location data to verify Check-In and Check-Out locations, to confirm attendance is completed at authorized work locations, to prevent fraudulent or incorrect attendance entries, and to support organizational attendance policies. We do not collect background location unless your employer requires it and you explicitly allow it. We do not use location for marketing, advertising, or selling data. If you deny permission, NIRAXO will not request or access any location data. Location is shared only with your employer for attendance records. The legal basis for location processing under GDPR is the contractual requirement to your employer for attendance-related features.

Data Use

We use your data to provide, manage, and improve our HRMS services. This includes attendance processing, leave management, payroll support, identity verification, communication, service updates, troubleshooting, personalization, research, analytics, and service improvements.

We may contact you regarding updates, important notifications, or service-related communication.

Data Retention & Deletion

We retain personal information as long as required by your employer, legal obligations, and operational needs.

You may request deletion of your information by emailing us. Deletion requests may require approval from your employer since they are the data controller.

Additional Details

When you register, we may require information such as your full name, company name, email, office address, contact number, and other HR-related details. Billing address and payment details may be requested if applicable.

Information collected may be used for onboarding, payroll, billing, service enhancements, market research, and other purposes related to NIRAXO.

We do not sell, rent, or share your information with external parties without explicit permission. Access is strictly limited to authorized personnel.

We use commercially acceptable security practices to protect your data. However, no transmission or storage method is 100% secure.

In case of app errors, we may collect Log Data, which includes your device IP address, device name, OS version, app configuration, usage timestamps, and diagnostics.

We may disclose information only when required by government authorities, legal procedures, investigations, or security-related matters.

All information submitted through NIRAXO remains private and confidential.

For better service, we may ask for additional optional information such as photos, documents, approximate or precise location, depending on the feature used.

We may send welcome emails, billing emails, important service notifications, and periodic updates related to NIRAXO.
